Wellcraft Retreat Terms & Conditions

By booking a Wellcraft Retreat, you acknowledge that you have read, understood, and agree to the following Terms & Conditions.

Booking & Payment

Your reservation is confirmed once your payment has been successfully processed. Retreat pricing is quoted in U.S. Dollars (USD) and is listed per person. Pricing includes accommodations, meals, movement classes, and workshops as outlined on the retreat webpage.

Unless otherwise specified, airfare, airport transfers, travel insurance, alcoholic beverages, optional excursions, spa services, gratuities, and personal expenses are not included.

Any bank fees, foreign transaction fees, or currency conversion charges are the sole responsibility of the participant.

Payment Plans

Wellcraft offers payment plans as a courtesy to make retreat participation more accessible.

By selecting a payment plan, you authorize Wellcraft to automatically charge the payment method provided according to the payment schedule selected at checkout.

Your reservation is secured upon payment of the initial deposit; however, the full retreat balance remains your financial responsibility.

All payments, including the initial deposit and all subsequent installments, are non-refundable.

Choosing a payment plan does not alter or waive the Wellcraft Cancellation Policy. If you cancel your participation for any reason, any remaining scheduled payments will continue to be charged according to your selected payment plan.

It is your responsibility to ensure your payment method remains valid and has sufficient available funds for each scheduled payment.

If a scheduled payment cannot be processed, Wellcraft reserves the right to:

  • Reattempt the payment using the payment method on file.

  • Contact you to arrange an alternate payment method.

  • Suspend access to retreat communications or planning materials until your account is brought current.

  • Cancel your reservation if your balance remains unpaid. Cancellation due to non-payment does not relieve you of your obligation to pay the remaining balance.

Payment plans are available only while sufficient time remains before the retreat. Bookings made closer to the retreat start date may require payment in full.

Cancellation & Transfers

Because of the intimate nature of our retreats and the advance planning required, all bookings are non-refundable and all sales are final.

If you are unable to attend, you may transfer your reservation to another guest. It is your responsibility to find a replacement attendee and arrange any financial reimbursement directly with them. Once a replacement has been confirmed, please notify Wellcraft with the new guest's full name, email address, and phone number.

Transfer requests must be submitted in writing no later than 14 days prior to the retreat start date. After this date, we cannot guarantee that changes can be accommodated.

Required Travel Insurance

Comprehensive travel insurance is required for all retreat attendees.

Your policy must include coverage for:

  • Trip cancellation

  • Trip interruption

  • Travel delays

  • Medical expenses

  • Emergency medical evacuation

Proof of travel insurance must be submitted to Wellcraft no later than 30 days prior to the retreat start date. Failure to provide proof of coverage by this deadline may result in cancellation of your reservation without refund.

Wellcraft is not responsible for expenses or losses resulting from illness, injury, family emergencies, weather events, airline delays or cancellations, government travel restrictions, natural disasters, or any other unforeseen circumstances that prevent you from attending the retreat.

Health & Participation

By attending a Wellcraft Retreat, you acknowledge that participation in movement classes, workshops, excursions, and other retreat activities is voluntary.

You confirm that you are physically able to participate and understand that you are responsible for consulting your physician before attending if you have any medical conditions, injuries, or concerns.

You agree to participate at your own pace, listen to your body, and assume full responsibility for your health and well-being throughout the retreat.

Please notify Wellcraft before the retreat of any allergies, dietary restrictions, medical conditions, injuries, or accessibility needs. While every reasonable effort will be made to accommodate requests, accommodations cannot be guaranteed.

Assumption of Risk & Release of Liability

Participation in a wellness retreat involves inherent risks, including but not limited to physical exercise, travel, outdoor activities, excursions, transportation, and the use of fitness equipment.

By attending the retreat, you voluntarily assume all risks associated with participation and release Wellcraft, its owners, employees, contractors, instructors, retreat partners, and venue partners from any claims, liabilities, damages, losses, or expenses arising from injury, illness, property damage, or other incidents occurring before, during, or after the retreat, except where caused by gross negligence or willful misconduct.

Photography & Video

Photography and video may be captured throughout the retreat for educational, promotional, and marketing purposes.

By attending, you grant Wellcraft permission to use photographs and video footage in which you may appear on its website, social media channels, email communications, and other promotional materials without additional compensation.

If you prefer not to appear in photographs or videos, please notify Wellcraft in writing prior to the retreat. While we will make every reasonable effort to honor your request, we cannot guarantee that you will not appear incidentally in group photographs or background footage.

Itinerary Changes

Wellcraft reserves the right to modify the retreat schedule, instructors, activities, accommodations, meals, or itinerary when necessary due to weather, safety concerns, local conditions, supplier availability, or other unforeseen circumstances.

Any modifications will be made with the intention of preserving the overall quality and experience of the retreat and will not entitle participants to a refund.

Guest Conduct

Wellcraft is committed to creating a welcoming, respectful, and supportive environment for all participants.

Guests whose behavior is disruptive, abusive, discriminatory, unsafe, or otherwise negatively impacts the experience of others may be asked to leave the retreat without refund.

Travel Documents

Guests are solely responsible for obtaining and maintaining valid passports, visas, vaccinations (if required), and any other documentation necessary for international travel.

Wellcraft is not responsible for expenses or losses resulting from insufficient or invalid travel documentation.

Retreat Cancellation by Wellcraft

If Wellcraft must cancel a retreat due to unforeseen circumstances, participants will receive either:

  • A full refund of the retreat fee, or

  • The option to transfer their payment to a future Wellcraft Retreat.

Wellcraft is not responsible for airfare, hotel accommodations booked outside of the retreat, airport transfers, travel insurance deductibles, or any other travel-related expenses incurred by participants.

Force Majeure

Wellcraft shall not be liable for delays, cancellations, interruptions, or changes resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, pandemics, epidemics, government actions, political unrest, labor disputes, transportation disruptions, acts of terrorism, or other force majeure events.

Acceptance of Terms

By booking a Wellcraft Retreat, you acknowledge that you have read, understood, and agree to these Terms & Conditions, which form part of your booking agreement with Wellcraft.
